Best Practice Use Cases
Any number of different business processes can be mapped in JobRouter®. Each process can represent completely different workflows (operations). A JobRouter process forms the schema for individual operations. An operation is thus an instance of the process. The operations are delivered to the users in inboxes. In addition, a notification mail can be sent to the user. Of course, automatic steps (e.g. system activities) are also possible. The tasks of a process always consist of one or more steps. These are executed either one after the other or in parallel. For each step you can define dialogs. This allows interaction between the user and the system. Each step is addressed either to a role, or to a specific user. You use roles to assign groups of people to a specific task. A role can be seen as a function within a process or within a department (e.g. "EDP department manager"). Example "Invoice receipt "An example of a process is the processing of an invoice receipt. The following graphic shows the typical process of an invoice receipt. The invoice is entered, released and finally posted. If the invoice amount is greater than €50,000, the process is automatically forwarded to the clerk's supervisor.
The user opens the process and is shown a dialog containing the data of the process. Using the dialog form, the user edits a step of the process. The following image shows an example dialog for an invoice receipt. The invoice data is displayed. The user calls the invoice itself via a button as a file or from an archive system. Via the button "Send" the user finishes the processed step of the transaction. The process is assigned to another user or role. In this way, you quickly route a process through the company, taking into account business rules and specifications.

In addition to users, JobRouter also manages roles. These roles usually correspond to functions in the company, such as Head of Accounting, Managing Director or Cost Center Manager. Several JobRouter user members can be in one role. In JobRouter processes, roles are usually addressed, so the process remains independent of the personnel structure. Persons and roles can easily be changed via the user and role administration. No changes have to be made to the process in this context.
The organizational structure of your company can be mapped to a certain extent in JobRouter by storing a supervisor for each user. This supervisor can be determined dynamically in a process. This makes it possible, for example, to have an invoice sent to the superior of a processor if it exceeds a certain approval limit. In JobRouter, there are basically two setting options for the supervisor function in the system (see also Installation Manual). Either supervisors, users or roles are stored as supervisors.
Responsibility for processes can be assigned to individual users as well as individual user roles. A process owner has access to the step and operation overview. He or she monitors and controls processes and steps. Different rights can be assigned to a process owner. According to these rights, he can perform different actions on the processes and steps.
When you log in to JobRouter, you will see the following overview by default. You can use the settings to define the JobRouter start view yourself. For example, you can specify that you are directed to the inbox after logging in.
They log in via the JobRouter start page. To do this, call up the JobRouter application via the URL specified in the installation. Please note: If you do not know the web address of your JobRouter, please contact your responsible system administrator or JobRouter system manager.
In the Username field, enter the appropriate name. In the Password field, enter your password. Click Log in to open the JobRouter.
Via the navigation menu you open the individual user boxes as in the overview view. You reach the most important functions to start and edit the steps of an operation.
To make working with many inboxes easier and clearer for the user, the inboxes, substitute boxes, edited boxes, overviews and archives are displayed sorted by category. Only categories for which you as a user have at least one box, overview or archive are displayed. All uncategorized boxes, overviews and archives are displayed on the main level. There you will also find the default boxes for Inbox, Substitution and Processed. Depending on the configuration, it is also possible that individual boxes and menu items are displayed directly on the top level of the navigation bar. If more than one overview or archive are configured on the main level, they can be found in an Overviews or Archives folder. Based on the numbers in the right column in the expanded state, you can see how many steps are available in the respective box. If new steps are available for processing, the corresponding boxes are highlighted in color.
This chapter describes further JobRouter functions that support you in your work. You can use the user & role search function to quickly find the desired users. With the help of the process history, you can keep an overview of the processes. Direct access helps you to quickly start certain steps and functions. The help texts inform you briefly and concisely about the various functions in JobRouter. Using the filters, you can quickly search the respective lists in the various user boxes.
At various points in JobRouter, you can select users or roles, e.g. to assign a step to another user or role, to select a substitute, or to specify a process owner.
In various sections of JobRouter, such as the inbox and substitution box as well as the process boxes and the by tracking widget, you can call up an operation history for the individual steps. You open this by clicking on a corresponding icon. You will see the complete history of the called process.
Notifications are displayed on the right side of the browser window. They are marked based on their relevance (error, warning, information, success) both in color and with an icon and can be removed individually. By default, info and success notifications are hidden after five seconds. If the mouse pointer is over the notification area, the automatic hiding is deactivated. If you leave the notification area, the time until hiding starts again from the beginning.
The close icon above the notifications can be used to remove all entries at once. This icon is only displayed if there is more than one notification.
In various sections of the JobRouter, such as the input box, filters are available. This allows you to narrow down the entries listed. Depending on the category, you can search through certain properties of the entries and display the matching hits.
The JobRouter is characterized by the fact that the essential functions are identified by symbols and colors. In this chapter you will find a complete list of all symbols and color schemes used in the JobRouter. This will give you a quick overview. You can use the overview as a lookup list to quickly recall the individual symbols and their meaning. In JobRouter, individual functions are marked with the same, recurring symbols. The following is a list of these symbols.
In the input box as well as in the step and process overview, you can recognize the status of a step or process by means of a color scheme. In the following, you will get an overview of the standard colors of JobRouter and their meaning.
There are two types of input boxes. On the one hand, there is the standard input box (input), in which you will find steps for processing. On the other hand, there are the so-called process input boxes. There you will be assigned steps for editing that belong to a certain process. You can see these boxes both as subfolders under Inbox and as additional inboxes in the JobRouter navigation menu. The process designer defines the process input boxes in the JobRouter Designer (see JobRouter Workflow Designer manual, chapter Input boxes). There, the name for the respective box is defined, which then appears in the JobRouter navigation menu. Whether a process input box is listed as a subfolder or as an additional menu item in the JobRouter navigation menu is also defined in the Designer. The columns displayed in a process inbox can also be customized in the Designer. These can differ greatly from the display of the columns in the standard input box. It is also defined whether the steps of the process to be edited appear exclusively in the specially defined process inbox or whether they can also be found under Inbox. This is because not all steps assigned to you will automatically appear in the default inbox under Inbox. If this is not explicitly defined for a process inbox, you will see steps assigned to you there exclusively in that box. It is possible to scroll between the steps in a box. In doing so, the sorting order of the respective box is observed. By default, the steps are sorted by date of receipt.
If you click Inbox in the Job Router navigation menu, you will see steps that are assigned to you for editing. These can be steps assigned to you directly or to a role you are a member of.

In a process inbox, steps of a specific process are available for you to edit. These steps can be assigned to you personally or as a member of a role. Click the relevant name in the JobRouter navigation menu to open the process inbox. You see a list of steps that are assigned to you.
An input box can be configured as a queue box. You can recognize this by the fact that the button "Next step from queue" is displayed in the action bar. With a queue box, a new task is automatically assigned to you after processing a step. Alternatively, you can request a new step using the "Next step from queue" button. In both cases, the step that has been in the queue the longest will automatically be delivered to you.
Above the action bar you can see the respective name of the process inbox (here: Business trip requests). To get an updated view of the process inbox, click on "Refresh" in the action bar.
The information you have about the individual steps depends on which columns are defined for display in the Process Designer. Here, for example, you see the name of the applicant under Applicant. You get information about how long the business trip lasted, the reason for the trip, the trip country and the escalation date.
If actions are defined for the box, you can select them via the selection menu at the end of the list. To do this, activate the checkbox of the step to which you want to apply the action and click on the action in the selection menu. The action will be executed.
To edit a step, left-click on the desired line entry. A pop-up window opens with the dialog for editing the step. For information on how to edit a step or operation, see the chapter Editing operations.
In the edited box you can see all the steps that you have already edited. All processed steps are listed in chronological order. Click on an entry to open the dialog box. You see the entered data, but you cannot make any more changes.
The following properties of the processed steps are shown in the table.
A step in JobRouter will either be started via the menu item "new-step-icon" in the header or opened via an input box.
If you have opened a step, you will see the dialog with the operation data. You can edit the step via this dialog. The dialog for a step is designed by the process designer according to the requirements for process editing.
The description of the symbols and their meaning can be found in the chapter Symbols of the JobRouter.
The lower section contains the form in which you enter your data. Designations marked with a red star indicate mandatory fields. You must fill them in before you complete a step. Depending on which action you choose, the step will then be forwarded or closed accordingly.
If you have opened the step from an input box, you also have the option of navigating to the next or previous step in the respective input box. For this purpose, corresponding buttons are displayed next to the close button. Entries made in the dialog are not saved when scrolling between steps. The order in which the steps are opened corresponds to the sort order of the input box.
Send step
Sendis used to end a step. This is transferred to the system. JobRouter automatically determines the next step or steps. The process is forwarded accordingly.
Exit step
The Exit action is an alternative to Send. Further steps can also be activated here, but this action is usually offered when it is the last step of a process.
Save step
Save saves the data you have entered.
Cancel step
You can cancel activated steps that are no longer required or were started by mistake. These can no longer be edited until they are reactivated. The corresponding step will be terminated. If you click the "Cancel" button, you will see the following pop-up window:
Assign step
You can use the Assign function to assign a step to another user or another role. You can no longer edit the step afterwards. The respective user or one of the members of the role can now edit the step in full and send it on.
Which users or roles are available for selection depends on the selection type defined in the process design:
- Process roles and users - only roles or members of the roles assigned to the process can be selected.
- All roles and users - you can select from all roles and users in the system.
Enter the name of the desired user in the "User name" field. You can also select the name from a list. If you click on the magnifying glass icon, you will open another pop-up window. In this window, select a user.
Activate the radio button at Role. A selection menu with all available roles will be displayed. Select a role. Enter a text in the "Comment" field, if necessary. Click on Assign. The pop-up window closes automatically. You will again see the box from which you started the step. The step is forwarded to the corresponding user or the desired role.
The Consultation function allows you to send a step with a question back to another user or role. The user or the members of a role can edit the step or answer the question. However, you cannot send it further, only back to the previous user. Which users or roles are available for selection depends on the selection type defined in the process design:
- Process roles and users - only roles or members of roles assigned to the process can be selected.
- All roles and users - you can select from all roles and users in the system.
You ask your questions to a user or to the members of a role in the same way as you assign a step (see chapter Assigning a step). Write your question in the "Comment" field. Click on "Query". The window closes and the question is sent to the selected user or role.

Under the user data you will find your personal settings with which you are logged into JobRouter. In addition, you can find out which user rights you have and store a profile picture. Apart from the profile picture, you cannot change the data, only view it.

This section shows you in which roles you are a member. You can only view this information. The administrator assigns the roles to you.
This section shows you which users you are the supervisor of. Only you can view this information. Any changes are made exclusively by the administrator. If the corresponding user has maintained a profile picture, it will be visible.
Under Applications you will see an overview of all registered devices with which you have logged on to JobRouter. Here you can also revoke the registration. This means that you have to authenticate with your device again.
